Limit the Posting Period by Company

To limit the posting period by company you should set the date ranges in the General Ledger Setup

Follow below steps to setup the Posting Period by Company
  1. In the search box enter General Ledger Setup, and then choose the related link.
  2. In the General Tab specify the Starting Period and End Period.
    • Starting Period- Should select from the Allow Posting From field
    • End of the Period-  Should select from the Allow Posting To field
Once the period been setup if any user try to post any entries outside the allowed range following error will displayed.

To limit the posting period by template, you should set the date ranges in the General Journal Template window of the Dynamics NAV. 

This option ONLY available in the Belgium Local Functionality. 

Follow below steps to setup the Posting Period by Template
  1. In the search box enter General Journal Templates, and then choose the related link.
  2. In the General Journal Templates Window specify the Starting Period and End Period for the users.
    • Starting Period- Should select from the Allow Posting From field
    • End of the Period-  Should select from the Allow Posting To field
Once the period been set up, if the particular user try to post any entries outside the allowed range following error will displayed.

  2. In the User Setup Window specify the Starting Period and End Period for the users.
    • Starting Period- Should select from the Allow Posting From field
    • End of the Period-  Should select from the Allow Posting To field

Once the period been set up, if the particular user try to post any entries outside the allowed range following error will displayed.

How the Posting Period Date Range Works

As mention in the earlier blog post you can set the posting period by providing start period date and end period date. 

However there are different combinations you can use when providing the date ranges. In this blog post I am going to discuss only about 3 main possibilities that can be used when assigning date ranges. 

With Start Date and End Date
If you provide both the Start Date and End Date, then system will only allow users to post transaction on the period that relies between the start and end date. 
Only with the Start Date
If you only provide the Start Date then system will allow users to post the transaction if the transaction date is larger than the start date specified. 
Only with the End Date
If you only provide the End Date then system will allow users to post the transaction if the transaction date is smaller than the end date specified. 

These are the combinations that can be used to restrict the posting period.

How to Limit the Posting Period - Overview

In Microsoft Dynamics NAV, administrator can limit the posting period with three different levels:
  1. By Company, 
  2. By User,
  3. By Template.
Once the posting period is set in the system using any of above options, user will not have the access to post any transaction outside the set range. 

Each of above option have its own purpose in the implementation and those will be discuss in the separate blog posts in future. 

What will happen if the posting periods are set in all the setups and which will be picked by the system? 

Following hierarchy chart will answer the asked question. 

  • If the posting setup is been set in the General Journal Template then Dynamics NAV will pick the posting date range from that despite the other setups. 
  • If the General Journal Template posting period is not setup then the next hierarchy will goes to User Setup.
  • If General Journal and User Setup is empty with no ranges setup then System will pick the posting date period from the General Ledger Setup
  • If all the setups are empty then system will allow users to post transaction to any date that user specify.

How to Reconcile the Cash Account or Other Liquid Accounts Before Posting Transactions

After you have entered the entries in the journals, you may required to reconcile the cash account or other liquid accounts before posting them to the ledgers. 

Microsoft Dynamics NAV provide an in-built solution for above requirement. To activate this option you need to follow few steps. Please refer this link on how to activate the reconcile option in chart of accounts.

After you activate the reconcile option in the chart of accounts, you can proceed to your journals and reconcile the accounts with unposted entries. 

Following are the steps that you need to follow in order to reconcile the accounts, 

Method 01.

01. Open Journal and enter the required entries.

02. Click on the Reconcile button on the Home tab. 

03. Following screen will open once you click the reconcile button. 
  • 01 - will show the net change in journal for particular G/L account.
  • 02 - will show the balance after porting the transaction for particular G/L account. 


Method 02.

01. Click on the "Test Report" button on the Action tab to preview the report. 



02.In bottom of the report you will be able to see the reconcile values related to G/L account.

How to Mark General Ledger Accounts for Reconciliation

Have ever look for a option in Microsoft Dynamics NAV to reconcile the cash accounts or any other liquid accounts before posting the transaction to the ledgers?

If you have, then you need to activate the Reconciliation Functionality in the Chart of Accounts
Reconciliation option in the General Ledger Account allows you to see the current balance, and the balance that will be after porting the transaction. 

Therefore you will not require manual calculations to see the balance and future balance.

To mark the general ledger accounts for reconciliation follow below steps,

1. In the Search box, enter Chart of Accounts, and then select the related link to open the chart of account.

2. Select the account you want to activate the reconciliation option and click Edit button on the Home tab.


3. On the General FastTab, select the Reconciliation Account check box.
